Plain-English terms for a rubbish-removal and house-clearance job

We're not open yet

Halcyon Clearance starts collections in mid-October 2026. Until then you can get a price and register your interest, but you cannot book a job or pay us — we are not taking any payment. The terms below describe how bookings and payments will work from the day we open.

Who these terms are with

These terms are provided by Matthew Short trading as Halcyon Clearance ("we", "us", "Halcyon Clearance"), trading from 24 Old Park Road, Newport, NP10 8BR. By booking a clearance with us you agree to the terms below.

How pricing works

You tell us about the job — what needs clearing, roughly how much of it, and your postcode; a few photos help but no site visit is needed. We then price it per job from what you've told us and come back with one firm number, agreed before we start. Nothing is payable before we open in mid-October 2026. From launch, you accept that quote by paying it in full to book (see "Prices and payment" below) — there's no separate "accept" step, and the price you paid is the price of the job you booked. It doesn't change. If there turns out to be more waste on site than the load you booked, that extra isn't a change to your price — it's simply more work than you bought, and we'd quote it separately like any other job. See "What 'up to your load size' means" below.

Photos are optional. If you send us photos of the waste, we may use them to reduce the price — that's a discretionary discount we may choose to offer, never a promise, and we don't commit to reviewing photos within any particular time. Photos can only bring the price down, never up.

Prices and payment

Our guide price ladder is based on how much of the truck your load fills:

A small fuel charge applies for jobs more than around ten miles from our Newport base. It's always built into the price you're quoted and shown before you pay — we never add it afterwards.

From launch, you pay in full when you book

Not yet — we are not open and we take no payment before mid-October 2026. From the day we open: you pay the full price at the time of booking, and paying is how you accept the quote — there's no separate "accept" step, no deposit, and no balance due later. Your payment secures your slot.

From launch, if you don't know how big the job is — the £50 slot booking

This too starts at launch; there is nothing to pay today. From then, if you genuinely can't size the load, you can pay £50 to book a slot instead, and we agree the price on arrival against the guide ladder above. When the job goes ahead the £50 comes off that price in full — you don't pay it twice, and the £30 call-out charge is never added on top of it.

The £50 slot booking is non-refundable. It pays for the slot itself and for us turning up. We tell you this at the point you pay it, before you pay it. Your statutory cancellation rights come first: if you cancel in time under the 14-day right described in our Cancellation & Refund Policy, and before we have attended, you are refunded in full including the £50.

What "up to your load size" means

We clear up to the load size you paid for. If there's more waste on site than that on the day, we leave the extra behind, take what you paid for, and go. There is no surprise charge and no renegotiation on your doorstep.

Anything beyond the load you booked is a separate job, not a change to this one. Your price stands exactly as agreed — it is not revised, increased or reopened. You booked a half load, you get a half load, at the price you paid. The rest is simply work you haven't bought yet.

If you want the rest gone, just ask and we'll quote it — there and then, or afterwards. That's a fresh quote for a fresh job, which you take or leave like any other; often the cheapest way to do it is to step up to the next load size and pay the difference, and we'll say so if it is. Say no and nothing further is payable, nothing is withheld, and the load you did pay for stands cleared and complete. We will never carry out work you haven't agreed to and then bill you for it.

Collection speed

Same-day and next-day collection are suspended until we open in mid-October 2026. Until then, every booking is Standard. The table below describes all three speeds as they will work from launch.

Once same-day is offered, if it's already fully booked we'll offer you the earliest slot we genuinely have rather than promise something we can't keep.

Access and parking

To do the job safely and on time, we need to reach the waste and park the tipper reasonably close. Before we arrive, please make sure:

If we arrive and can't reasonably park or reach the waste — and it can't be sorted while we're there — we may not be able to complete the job. In that situation we keep a fixed £30 call-out charge and refund everything else you paid. £30 is the whole charge: it is not a percentage, it doesn't scale with the job, and there is nothing else to pay. Your statutory cancellation rights come first where they apply. See our Cancellation & Refund Policy for the detail. We'll always talk it through with you on the day first.

Items we can't take

Some waste is legally restricted and needs a specialist, licensed route — it's not something a general clearance crew can lift into a tipper. For everyone's safety and to stay within the law, we cannot remove:

This isn't us being awkward — these need a properly permitted specialist. If you've got any of the above, tell us when you enquire and we'll point you to the correct route (for example your local council's hazardous-waste service or a licensed specialist carrier).

Cancelling or rescheduling

Plans change — that's fine. Just let us know as early as you can so we can offer the slot to someone else.

Your statutory cancellation rights as a consumer are unaffected by anything above. Our full cancellation and refund policy — including your 14-day statutory right to cancel — is set out in our Cancellation & Refund Policy.

Our responsibility and liability

We take reasonable care of your property while we work — moving items out, protecting doorways and floors where practical, and clearing up after ourselves. We aim to leave the place tidier than we found it.

Clearance and lifting carry some unavoidable risk. We're responsible for loss or damage that results from our negligence or failure to use reasonable care and skill. We are not responsible for:

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited or excluded under the law of England and Wales. If you think something has gone wrong, tell us as soon as you notice it and we'll work it out with you fairly.

Where your waste goes

Every load we clear goes to a permitted disposal site, and you get a waste transfer note for every job — your written record of what was taken and where it went. We also keep a photo record of every load.

That paperwork is your duty-of-care protection: it's proof your waste was handled and disposed of properly, not fly-tipped. Ask for your copy on the day and we'll hand it over — it's part of the job, not an extra.

Your data and privacy

We only collect what we need to quote and complete your job — your name, contact details, the job address, and the photos you send us. We use them to give you a quote, arrange the collection, and keep the legally required record of the clearance.

We don't sell your details or share them with anyone except where we're legally required to. Our full Privacy Notice sets out how long we keep your information — our standard is 90 days for an unbooked enquiry, kept with the job record where you go ahead — and your rights under UK data-protection law.

General

These terms are governed by the law of England and Wales, and any dispute falls to its courts. If any single term turns out to be unenforceable, the rest still stand. These terms are between you and us and don't give rights to anyone else.

We may update these terms from time to time; the version that applies to your job is the one in force when you book. If anything here isn't clear, just ask before you book — we'd rather explain it than have you guess.

Version 2.0 — 26 July 2026. This version replaces the deposit-and-balance terms that applied to bookings made before this date. If you booked before 26 July 2026, the terms in force when you booked are the ones that apply to your job — email us and we'll send them to you.
